Terms and Conditions

Please read these terms and conditions carefully before booking onto a WAGE conference and making a payment.

Last updated: 01.01.2026

These Terms of Use govern your use of the Welsh Association of Gastroenterology and Endoscopy (WAGE) website and your participation in WAGE membership and events. By accessing or using our website, applying for membership, or registering for an event, you agree to comply with these Terms. If you do not agree with any part of these Terms, please do not use our website or services.

Applying for WAGE Membership

Prospective members of WAGE must complete the online membership application form on our website when joining. Applications are welcomed from healthcare professionals, scientists, and others with an interest in gastroenterology and endoscopy.

Applicants should select the most appropriate membership category based on their professional status. If you are unsure, please contact admin@wage.org.uk for assistance.

WAGE membership is intended for medical, nursing, allied health professionals, and scientists not employed by companies that sell medical equipment or pharmaceutical products for profit. WAGE reserves the right to cancel membership if a member is found to be employed by such companies. Members who transition into these roles may request a pro-rata refund of their membership fees.

Once your membership is approved, you will receive an email confirming your payment. The email used during registration will be linked to your WAGE account. By joining WAGE, you consent to receive communications from WAGE at the email address provided during registration.

Payment of Membership Fees

All applicants must pay the applicable annual subscription fee upon joining WAGE. Applications are reviewed to ensure correct membership category assignment, and WAGE will notify applicants of any necessary adjustments.

All fees are payable in Pounds Sterling. Direct debit is the preferred payment method, though payments by debit or credit card are also accepted. Membership activation occurs once full payment has been received.

Cancellation of New Membership

You may cancel your membership application within 28 working days of receiving confirmation by emailing admin@wage.org.uk.
Cancellation requests received after 28 days will not be refunded.

Membership Renewals

Memberships renew automatically each year unless you opt out. Renewal fees will be collected automatically via your original payment method. You can update your membership details or category by logging into your WAGE account.

WAGE Membership Data Use

By becoming a member, you consent to WAGE holding and processing your personal data for purposes including communications about WAGE business, events, and professional news. Unless otherwise requested, your email address will be added to our mailing list to keep you updated.

For more details on how we handle your personal data, please see our Privacy Policy.

Cancellation and Refund Policy

Membership is annual and non-refundable once activated. To cancel your membership, please email membership@wage.org.uk. Membership benefits end immediately upon cancellation.

Member Benefits

Members are entitled to discounted rates for the Annual Conference and other endorsed events. To qualify, you must hold an active membership at the time of booking. Membership approval may take up to seven working days.

If membership lapses between booking and attending an event, members will be required to pay the difference between the member and non-member rates. Event places are only guaranteed once full payment has been received.

Event Requirements and Bookings

Applicants are responsible for ensuring that:

  • All information provided to WAGE is accurate and complete.

  • The event meets their training needs.

  • They meet all pre-requisites where stated.

  • Full payment is made prior to the event start date.

Failure to meet these requirements may result in cancellation and an administration charge being deducted from any refund due.

Overseas applicants who do not hold a UK GMC number may be required to provide additional information to support their booking. The WAGE course organiser will contact such applicants at the time of booking to ensure all information is received prior to the course start date.

Payment and Cancellations for Events

Payment should ideally be made at the time of booking.

All cancellation requests must be made via email or in writing and are subject to the following fees:

  • Six or more weeks’ notice: 10% of the event fee.

  • Less than six weeks’ notice: 100% of the event fee.

If WAGE has to cancel or postpone a course, you will be contacted by email and offered an alternative date. If this is not possible, a full refund of the course fee will be given. WAGE will not be liable for any travel or accommodation costs already incurred.

Unforeseen Circumstances

WAGE makes every effort to ensure that events run as advertised. However, applicants should be aware that sometimes it may be necessary to change the course timetable and/or speakers without prior notice. Under these circumstances, WAGE will not be liable for any travel or accommodation costs that have already been incurred.

Waiting Lists

Once an event is full, your details will be added to a waiting list. This list will be reviewed regularly, and applicants will be offered places on a first-come, first-served basis.

Certificates

Requests for additional copies of certificates will incur a £10 administrative fee.

Delegate Information

All attendees at WAGE events, including name, position, and hospital will be added to a delegate list. Delegate lists may be shared with event sponsors. By registering for an event, you agree to these terms and conditions.

Where delegates do not meet the entry requirements for a course, WAGE reserves the right to cancel their place.

Data Protection and Privacy

WAGE processes the personal data you provide in accordance with UK data protection regulations. By submitting your details, you consent to WAGE processing your personal data in order to send you relevant information in line with your preferences. You may withdraw this consent at any time by contacting admin@wage.org.uk.

Please note that where delegates attend WAGE-endorsed events, it may be necessary to share limited information with partner organisations to support event attendance and certification.
